How to Make the Most of Your Mindbody Payments Reporting

By Ingrid Thompson

May 22, 2025

As a health and fitness business owner, understanding your financial data is critical to making informed decisions to drive growth and sustainability in your business.

Mindbody has taken a significant step forward in empowering you as the business owner with better financial insights through the new Payments tab in Analytics 2.0, which replaces and substantially improves upon the legacy Payouts Report.

This is Payment Analytics at its most accessible.

As a studio owner or manager, you know that having clear visibility into payment flows isn't just about keeping your books balanced—it's about understanding the financial health of your business and identifying opportunities for improvement.

Payment data tells the story of how your business is performing financially.

This blog will walk you through how to make the most of the enhanced capabilities of the Payments tab to help you simplify your bookkeeping processes, identify important revenue trends, minimize lost income from failed payments, and gain deeper insights through advanced filtering options.

By mastering these features, you'll be better equipped to protect your revenue streams and make data-driven decisions for your business.

Payments tab overview

The Payments tab in Mindbody Analytics 2.0 represents a comprehensive reimagining of how fitness and wellness businesses interact with their payment data.

This new feature delivers an intuitive and dynamic dashboard that transforms the raw payment information in your business into understandable business data and offers a holistic view of your payment landscape.

You can easily analyze transaction volumes across different time periods, track payouts by various payment methods, and get detailed breakdowns of processing fees—all within a user-friendly interface designed with busy business owners in mind.

This enhanced functionality allows you to keep track of several critical aspects of your payment data.

1. Simplify your bookkeeping

For many fitness business owners, reconciling financial records is one of the most time-consuming administrative tasks.

The Payments tab dramatically streamlines this process by centralizing all your payment information in a single, easy-to-navigate dashboard.

Instead of toggling between multiple systems and reports, you can quickly view all your financial transactions in one place, including when payments were processed, what fees were applied, and when funds were deposited into your account.

This consolidated view eliminates the guesswork and reduces the administrative burden of reconciliation.

For example, when preparing your financial statements, you can now easily match the deposits in your bank account with the transactions in Mindbody, accounting for processing fees – whether you are reporting weekly, monthly or quarterly.

One of the key features of the Payments Tab is the export functionality. You can customize these exports to include exactly the information you need, whether you want a comprehensive overview of your monthly transactions or a focused analysis of a specific payment type.

This allows you to perform offline analysis or share detailed information with your accountant or team.

By making reconciliation faster and more accurate, the Payments tab helps ensure that your financial decisions are based on reliable data. This is essential for making informed choices about everything from class scheduling to expansion opportunities.

3. Identify and reduce failed payments

Every declined transaction represents potential lost revenue for your fitness business.

The Payments tab gives you tools to analyze failed or declined payments and understand their root causes, so you can quickly spot patterns and implement targeted solutions to minimize revenue leakage.

You may notice that most of your declined payments happen because of expired cards, or you see spikes in payment failures around certain days of the month, or certain membership types experience higher failure rates.

Armed with this information, you can develop specific strategies to address the most common failure points.

For example, if expired cards are a frequent issue, you might implement a reminder system to alert clients when their card information needs updating. If insufficient funds are causing declines, you might consider adjusting your billing schedule to better align with your clients’ pay cycles.

The ability to quickly identify and address payment failures not only protects your bottom line but also improves the client experience by preventing the awkward situation of having to discuss payment issues during check-in.

Note: This is currently available only for US customers as of April 2025.

4. Use filters to gain deeper insights

With the ability to filter by location, payment type, date range, and numerous other variables, the interactive filtering capability in the Payments tab transforms how you analyze your financial data.

Want to know which of your locations brings in the most revenue through the Mindbody App? Curious about the percentage of your transactions processed via ACH rather than credit card? Interested in comparing payment patterns between weekdays and weekends?

The filtering system makes these insights immediately accessible without requiring technical expertise. These filtered views allow you to perform targeted analyses that address your unique business challenges.

Multi-location businesses can compare performance across sites to identify best practices. Businesses with diverse offerings can analyze which services generate the most reliable payment streams. Seasonal businesses can better understand their cash flow cycles and plan accordingly.

By regularly exploring different filter combinations, you'll likely discover insights that spark new ideas for growth opportunities or efficiency improvements.
