How to Operate Mindbody to Run Your Business

A successful Mindbody setup is heavily dependent on understanding the overall structure of your business. Understanding what services you will have in your business, how clients can book for your services and how much is costs is paramount. A clear understanding of your terms and conditions for your services and facilities is also a must.

Set up your revenue categories

Revenue categories are best thought of as the groups you choose to classify your various streams of revenue by. Whilst revenue categories don't directly impact the behavior of your Mindbody site they significantly enhance the depth of your reporting capabilities. 

By separating your revenue categories into streams such as Billed Memberships / Upfront Memberships / Intro Offers / Class Packs and so on, and then assigning your Pricing Options and Appointment Types to the corresponding categories, your Sales by Category and Sales Reports can paint you a very clear picture of your revenue streams and performance.

Set up various membership types

Setting up various memberships is a powerful tool with several benefits to your business. Memberships can be used to track, identify, and measure the success of specific subsets of your client base. Segmenting your memberships, allow you the ability to provide perks for your clients, including priority booking access and discounts automatically, without having to manually manage this.

Once your memberships are set up correctly, your membership report becomes a very powerful report for the management of your business. It provides you the ability to view, memberships expiring, terminating, the number of members in each membership category, along with the ability to pull lists of specific subsets with ease.

Set up contracts

Create contracts within Mindbody that allow you to bill your members periodically for services, creating a reoccurring income stream.

By focusing on selling billed memberships within your business, you take out the leg work of having to follow up packs and visits and create predictability of income.

Run reports daily to keep on top of what is going on in your business

Utilize the Mindbody reports to pinpoint the overall health of your business. 

Our favorite reports to use daily are:

  • Sales by service
  • Sales by category
  • Unpaid visits
  • Account balance
  • Late cancel/no-show
  • Expiring pricing / packs
  • Attendance analysis

Contact logs

Contact logs are a great tool to improve transparency and communication among teams about client accounts, tasks, preferences, accomplishments, complaints, and anything else that may be key to remember to maintain rapport with the client at every interaction. 

Pair the contact logs with Purchase History and Visit records and you have a well-rounded understanding of your clients. 

Auto emails

Auto emails are triggered by different actions within Mindbody and are a great way to inform your clients of important details concerning their purchases and visits within your business. 

Examples include time running out or visits remaining are low emails. 

One of the great features of the Auto-emails is that you can CC or BCC members of your team to ensure that you are kept up to date with the same information, and know which clients are of priority to call / follow up.

Make it easy for your clients to buy from you

Your website: Make sure your clients can book online and purchase your services through your website by using the Mindbody Widgets or direct links. 

Branded app:With a personalized app, you’ll increase your brand exposure, stay connected with your clients, and give them a one stop shop for everything they need to book and buy from your business. 

Mindbody app:Listing your business on the Mindbody app allows you to to market your business to a wider audience in your community. Setting up an introductory offer that can be promoted is a sure ticket for people that didn’t know about you to find you, try you and join you. 

Run promotions

Promo codes:By setting up promo codes in Mindbody you have to ability to offer discounts that are $ amount or % based on products or services for a limited time to clients with the code. Promo codes are an effective marketing tool for clients to use to seamlessly apply a promotion. You can track the success of your promo code by running the promotions report at the end of the promotion.

Early Bird Discount: The Early Bird Discount option is set up directly in your pricing option. You can set the discount as % or a $ amount. You can also list the start date and end date. The benefit of using this option is your clients will see the discount and do not need to use any promo codes to get the offer. To promote this, you will only need the link to the pricing for the client to purchase. To report, you can run the sales by service report to see the success of this promotion.
