Mindbody Contracts, Cancellation Policies, and Data Exports Explained
Last updated: March 12, 2026
If you run a fitness or wellness business, you know choosing management software is a big decision. You're trusting a platform with your schedule, your payments, your client data, and your revenue. You're relying on it to power the day-to-day operations that keep your doors open, and your clients coming back. So, it's fair to ask: what happens if I need to make a change?
For many business owners, that question comes down to contracts. How long am I locked in? Is cancellation complicated? Will I lose access to my data? These are smart questions. When you're managing classes, staff, payroll, and memberships, predictability isn't optional. It's essential.
If you've heard that Mindbody's contracts are difficult to cancel, we're here to clear that up. Mindbody has powered fitness, beauty, and wellness businesses for 20+ years. We're built for long-term growth, and our goal is to earn your business through real results that grow your business and give you peace of mind.
In this blog, we'll break down what term flexibility really looks like with Mindbody, how contract updates and cancellations work, and how to access and retain your data.
Are you locked into a long contract with Mindbody?
Short answer: Not necessarily.
Mindbody offers different plans and terms based on your business size, goals, and software tier. Whether you're on Starter, Accelerate, Ultimate, or Ultimate Plus, your agreement outlines clear timelines and expectations with all the details of your contract length and renewal terms.
We've supported 40k+ studios worldwide.
When you're evaluating Mindbody's contract length prior to signing up, consider this:
- Flexible terms based (e.g., 12, 24, or 36 months) on plan and business needs
- Clear renewal timelines outlined in your agreement
- Transparent pricing
- Upgrade paths as you scale
The goal is simple: Mindbody aims to give you room to grow without making you feel trapped.
What timelines and steps should you expect for contract changes or cancellations with Mindbody?
If you're considering a change, the process is clearly defined in your contract terms.
First, review your Mindbody contract terms and renewal date. Mindbody currently requires at least 30 days' notice before the end of your contract term, unless otherwise noted in your agreement. That notice window is important. It gives you time to evaluate your options, prepare your data exports, and make a confident decision.
To formally cancel, you must submit a cancellation request directly to Mindbody via phone or online by contacting Mindbody support. All cancellation requests are reviewed by our internal teams. Review timelines may vary, but we'll stay in close communication throughout.
Next, contact the Mindbody support or the Mindbody client engagement team. They'll walk you through:
- Your current term and renewal timeline
- Any required notice period
- Final billing dates
- Steps to export your data
For businesses scaling up, changes often mean upgrading tiers or adding products, like Mindbody's marketing tools, Mindbody Payments, or a branded app. For businesses consolidating, it may mean adjusting locations or shifting features.
How does contract cancellation work with Mindbody?
Contract cancellation with Mindbody follows the terms outlined in your contract terms. That means honoring your contract length and submitting notice within the required timeframe.
It's important to know that, unless otherwise noted in your Order Form, Mindbody contracts automatically renew at the end of the current term unless the contract is terminated with proper notice by either party. If you seek to cancel and notice is not received within the required window, the agreement will auto renew for the next term.
Because contracts auto renew (unless otherwise terminated), reviewing your renewal date and required notice period ahead of time is essential. Providing written notice at least 30 days before the end of your contract term helps Mindbody process your request before the next renewal or billing period, subject to review and confirmation.
Here's what typically happens when canceling your contract with Mindbody:
- You submit notice within your required window and speak to the Mindbody support or client engagement team.
- Your team confirms your final service date.
- You'll have access to your data through your final billing date. Before your site is deactivated, we recommend exporting and saving any information you'd like to retain for your records.
- Contract billing stops at the end of your contract term.
That's it.
Most importantly, you maintain access to your data during the transition window so you can prepare for your next steps.
What happens to your data if you cancel your Mindbody contract?
This is one of the biggest concerns we hear at Mindbody. Your data is your business. Client histories, memberships, sales reports, and visit records represent years of hard work. If you decide to cancel, you need to know exactly what happens next.
Before your Mindbody site is deactivated, we strongly recommend exporting and saving your data for your own records. Once your site is fully deactivated, you will no longer be able to access the data stored in it. That's why planning ahead is key.
Mindbody allows you to export your business data in standard formats, such as CSV files. This includes:
- Client contact information
- Purchase history
- Membership details
- Visit records
- Sales reports
- Staff data
These files can be used for record-keeping, accounting, migration to another system, or for other purposes needed for your business.
If you have a large volume of data and need additional support, Mindbody offers a data export service for an added fee. This service is available for up to 30 days after cancellation, giving you a defined window to retrieve what you need.
If you're closing just one location within a multi-location site, it's important to know that you'll lose the ability to run reports specifically for that location after it's closed. However, the underlying visit and sales data are not deleted. They remain part of your overall historical records, even if reporting access changes.
For full details on data retention, what occurs after termination, and your rights under your contract terms, you can review the Mindbody Terms of Service. Transparency matters, especially when it comes to your information.
The bottom line is, if you cancel your Mindbody contract, your access ends when your site is deactivated. But with proper planning and timely exports, you can preserve your data, protect your records, and move forward with clarity.
How long does it take to migrate off Mindbody?
Migration timelines depend on the size of your business, number of locations, product setup, and complexity of your data.
For a single-location studio with standard scheduling and payments, exporting and transitioning may take days or weeks. For multi-location brands with enterprise-level reporting, it can take longer.
Here's what to plan for when migrating off Mindbody:
- Exporting historical reports
- Downloading client and sales data
- Closing out memberships and recurring payments
- Reconciling final payouts
- Setting up your new platform
The key benefit: you can access and preserve your historical records before your final service date. That helps prevent downtime.
Can you preserve Mindbody’s historical records without downtime?
Yes, with proper planning, many businesses can preserve Mindbody's historical records and reduce downtime during a transition.
Because Mindbody's reporting tools and dashboards centralize your business data, you can download detailed performance reports before your term ends. This ensures you keep:
- Revenue history
- Attendance trends
- Membership performance
- Staff productivity metrics
- Client lifetime value and purchase behavior
With Mindbody, your scheduling, payments, marketing, and reporting live in one platform, with certain services, such as payment processing, subject to separate terms or third-party arrangements. That makes exporting clean reports far easier than trying to piece together information from multiple disconnected tools.
However, this is where many businesses pause.
While it's possible to preserve your historical records, switching from Mindbody often introduces more disruption than expected. Moving away from Mindbody's all-in-one system means:
- Rebuilding automations and client journeys
- Retraining front desk staff and instructors
- Reconnecting payment processors and third-party integrations
- Recreating membership rules and pricing structures
- Manually validating migrated data
Even a short transition period can impact booking flow, recurring payments, and staff efficiency. Missed settings or broken integrations can lead to failed payments or client confusion.
For growing studios and multi-location brands, the operational cost of switching from Mindbody can outweigh the perceived savings. Consolidated systems reduce revenue leakage, reporting gaps, and administrative overhead. Fragmented systems often increase them.
So yes, you can preserve your Mindbody historical data without downtime. But many business owners find that staying with Mindbody's stable, established platform built specifically for fitness, beauty, and wellness minimizes disruption and protects long-term growth.
Why stability matters when choosing fitness & wellness management software
There's a reason Mindbody is recognized as a leading booking platform in fitness, beauty, and wellness. Stability.
Mindbody has delivered 99.9% platform uptime over the past three years*. That means your schedule stays live, your clients can book, and your payments continue processing when it matters most. Nights, weekends, peak class times. Our goal is to ensure your software works so you can focus on running your business.
When you choose a contract with Mindbody, you're not just choosing software. You're choosing:
- Ongoing product innovation backed by decades of data
- Dedicated support teams who understand your industry
- Proven reporting infrastructure built for real-world operations
- Enterprise-grade data systems designed to scale with you
That means fewer surprises, disruptions, and "workarounds" to patch missing features.
For fitness, beauty, and wellness businesses, consistency matters. Your clients expect seamless booking. Your staff expects reliable schedules and payroll. You expect accurate reporting and dependable payouts. That's what stability delivers.
*Uptime excludes scheduled maintenance and reflects historical performance only; future performance and SLA levels are not guaranteed

Get StartedFrequently asked questions about Mindbody contracts and cancellation
- What timelines and steps should I expect for contract changes or cancellations with Mindbody?
-
Mindbody offers clear, structured contract terms so you know exactly what to expect. Your cancellation options depend on whether you are on a month-to-month or a fixed-term contract.
Here’s how it works:
For month-to-month customers
Most month-to-month contracts begin with a standard 90-day minimum commitment. This initial period gives your business time to fully set up, launch, and start seeing value from the platform.
After the initial 90 days, unless otherwise stated in your Order Form and subject to Mindbody’s periodic updates to its Terms of Service, your contract continues on a month-to-month basis.
Unless on a fixed term commitment, you may generally cancel at any time after the 90-day minimum by providing at least 30 days’ notice before your next billing date. This gives you flexibility, as long as notice is submitted within the required timeframe, subject to Mindbody’s current notice requirements and your Order Form.
Keep in mind that contracts typically automatically renew each billing cycle unless cancellation notice is received in advance.
For customers on fixed-term contracts
If you signed a fixed-term contract (such as a 12-month contract), you are committed for the full length of that contract term.
Cancellation is not available mid-term unless otherwise stated in your Order Form. Your contract will run through the agreed contract period and will automatically renew at the end of that term unless cancellation notice is submitted at least 30 days before renewal.
Your Order Form outlines your specific contract length, renewal terms, and notice requirements. If you no longer have a copy, you can request one.
- How does contract cancellation work with Mindbody?
-
Contract cancellations follow the terms outlined in your Order Form, including your contract length and required notice period. Unless otherwise specified, contracts automatically renew at the end of the term if proper written notice is not received within the required window.
If you do not want to renew your contract, submit written notice at least 30 days before your contract end date (or as specified in your agreement). Once notice is received:
You’ll connect with Support or your Client Engagement team to confirm your final service date.
You’ll retain access to your data through your final billing date and should export any records before deactivation.
Billing ends at the conclusion of your contract term.
Reviewing your renewal date and notice period in advance will help with timely processing of any contract cancellations.
