How to Manage Clients Purchasing on Account

In the MINDBODY system there are two ways to allow clients to make purchases on account. The first, a function of payment methods, enables purchasing on account as a form of payment accepted by your business. You can adjust this wide sweeping functionality with the Active checkbox next to "Account" on your Payment Methods Screen.

To enable or disable purchases on account -- for all clients:

1. Follow this menu path: Toolbox => Setup => Options => Payment Methods
2. To enable purchasing on account, check the Active? Box next to Account
3. To disable purchasing on account, uncheck the Active? Box next to Account
4. Click the Update Button

If you allow negative account balances, then the second way to manage account purchases allows you to pick-and-choose which clients get the privilege of making purchases on account.

To disable purchasing on account for just some clients, you must first do this: 

1. Follow this menu path: Toolbox => Setup => Options => General Setup & Options
2. To enable individual clients to purchase on account, enable this feature: Account Purchases - Allow All Clients
3. To disable individual clients from purchasing on account, disable this feature: Account Purchases - Allow All Clients
4. Click the Update button

If you allow negative account balances for just some clients, you can select which clients are not permitted to run up a tab with your business from their Profile Screens.

To disable purchases on account -- for individual clients:

1. Look up the client that you no longer want making purchases on account 
2. Uncheck the "Charge House Account" setting on his or her Profile Screen
3. Click the Save Client Information Button

Why is this feature useful?

It's a good way to stop certain clients that have large, outstanding balances from increasing their debt. Also, if you use the pays for/pays by client relationship for children and parents at your business, then you can use this feature to keep children from accidentally making purchases on credit. Uncheck the new "Charge House Account" checkbox for the child, and there will be no mistake about whose account is debited on the Retail Screen.
